Privacy Policy

In short: We collect the minimum information needed to run the directory and connect patients with doctors. We never sell your personal data, and booking request details are only shared with the specific doctor you're contacting.

1. Information we collect

We collect different information depending on how you use NetND:

If you're a patientName, email, and phone number when you submit a booking request; search activity is not linked to a personal account unless you submit a request. If you submit a review, we collect the reviewer name and content you choose to include, and, if provided, your email for verification purposes.
If you're a doctorName, email, password (encrypted), license number, practice address, bio, photo, and fees/insurance information you choose to list publicly. We also derive approximate geographic coordinates from your practice address to power location-based search.
If you're a clinicClinic name, contact name, email, password (encrypted), phone, address, bio, hours, photo, and the insurance/language information you choose to list publicly. If you invite a doctor who doesn't yet have a NetND profile, we also collect the email address you provide for them, solely to send that invitation — see Section 3, below, for more on this.
AutomaticallyBasic technical data such as browser type and general location (city-level) for service functionality; IP address, retained briefly to detect and prevent spam or abusive submissions (see Section 5, below); and aggregated, anonymized site usage analytics (e.g. which pages are visited, and which listings a visitor interacts with) to help us understand and improve the Service.
If you have a paid subscriptionA Stripe-issued customer and subscription reference, your subscription status (active, past due, or canceled), and your next billing date. We record when billing events occur (e.g. a payment succeeded or failed) to keep your listing's status accurate and to help us troubleshoot billing issues — we do not store your card number, which Stripe handles directly.

3. What we share, and with whom

When you submit a booking request as a patient, your name, email, phone number, and the details of your request are sent directly to the doctor or clinic you selected. We do not sell, rent, or share your personal information with third parties for marketing purposes.

When a doctor requests to join a clinic, the clinic can see that doctor's name, credentials, and public profile in order to decide whether to accept. When a clinic invites a doctor, the doctor sees the clinic's name and public profile. If a clinic invites someone by email who does not yet have a NetND profile, we use that email address only to send the invitation itself — this is personal information we receive from the clinic rather than directly from the person it belongs to, and we do not use it for any other purpose, retain it beyond what's described in Section 5 below, or share it with anyone besides the inviting clinic. That invitation is a single message, not a recurring one — we do not send follow-up reminders to an email that never creates an account. The invitation email itself names the referring clinic and states that it results from that referral. If that person never creates a NetND account, the invitation and the email address associated with it are deleted after a reasonable period.

If you sign up using another doctor's referral link, or in response to a clinic's invitation, we record which doctor or clinic referred you. This is used only to apply any referral reward the referring doctor or clinic may be eligible for, and to show a referring doctor which of their own referrals have signed up — it is not shared beyond what's needed for that purpose.

We use the following third-party service providers to operate NetND, each of which processes data on our behalf under its own privacy and security practices:

4. International data storage and transfer

NetND is based in Canada, but some of our service providers, including our database host, store and process data on servers located in the United States. This means your personal information may be transferred to, stored in, and processed in a jurisdiction outside of Canada, where privacy laws may differ from those in your province or country. By using NetND, you consent to this transfer. We select service providers who maintain reasonable technical and organizational safeguards, and we take reasonable steps to ensure your data continues to receive an appropriate level of protection regardless of where it is processed.

5. Data retention

We retain doctor and clinic profile data for as long as the listing remains active, and for a reasonable period afterward to comply with legal, tax, or dispute-resolution obligations. Ending a doctor's association with a clinic — whether initiated by the doctor or the clinic — does not delete the doctor's own profile, account, or reviews; it only removes the connection between the two listings.

Booking request details are sent via email and are not stored in our database beyond what's needed to deliver the request. IP addresses collected to prevent spam and abuse are automatically deleted on a rolling basis, within 24 hours. Rejected or withdrawn doctor and clinic applications are retained, rather than deleted, specifically to prevent the same rejected application from being resubmitted to bypass our review — if you'd like a rejected application removed, contact us and we'll accommodate that unless retaining it is necessary to prevent abuse of the Service. A clinic invitation sent to someone without a NetND profile, and the email address associated with it, is deleted after a reasonable period if that person never creates an account. Billing event records (e.g. a payment succeeding or failing) are retained for as long as your account exists, for accounting and dispute-resolution purposes. You may request deletion of your account and associated data at any time by contacting us.

6. Automated decision-making

If a subscription payment fails and isn't resolved within 7 days, our system automatically hides the affected listing from search — this decision is made without human review at the time it happens (see Section 10 of our Terms of Use for how this works). It does not delete your profile or account, and reverses automatically the moment payment succeeds. If you believe this happened in error, or want a person to review your specific situation, contact us at the email in Section 12 below and we'll look into it directly.

7. Your rights

NetND is based in British Columbia, and our collection and use of personal information is primarily governed by BC's Personal Information Protection Act (PIPA). For interprovincial and international aspects of our operations — including doctors located outside BC and our use of service providers based outside Canada — the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply.

Depending on your location, you may have the right to access, correct, or delete your personal information, to know what information we hold about you, and to opt out of marketing communications. To exercise any of these rights, contact us at the email below. If you're located in Canada and are not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada or, for British Columbia residents, the Office of the Information and Privacy Commissioner for BC.

8. Security and breach notification

We use industry-standard measures to protect your data, including encrypted password storage and row-level access controls on our database. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security. In the event of a data breach that creates a real risk of significant harm, we will notify affected individuals and applicable regulators as required by law.

9. Cookies and analytics

NetND uses minimal cookies necessary for authentication (keeping doctors and clinics logged into their dashboard) and basic site functionality — these are required for the site to work and aren't optional.

Beyond that, the first time you visit NetND, you'll see a banner asking whether to allow analytics and advertising cookies. Nothing beyond the required authentication cookies loads until you actively choose "Accept." If you decline, neither of the tools described below ever loads on your visit. You can change your choice at any time using the "Cookie preferences" link in the corner of any page.

If you accept, two things load: privacy-respecting analytics to understand aggregate site traffic and usage patterns — including which listings a visitor clicks "book" or "call" on, so doctors and clinics can see how many people engaged with their profile (this data is aggregate and tied to the listing, not to any individual visitor) — and Google Ads conversion tracking, to measure the effectiveness of our advertising and understand which campaigns bring visitors to NetND. This sets cookies and may share limited technical data (such as which ad you clicked, if any) with Google. It does not access the content of your searches or profile interactions on NetND. You can opt out of personalized advertising through Google's Ad Settings at any time, independent of the choice you made in our banner.

10. Reviews and health information

Patient reviews are public. If you choose to describe a health condition or experience in a review, that information becomes publicly visible as part of your submitted content. We encourage you not to include more personal or identifying health detail than necessary. NetND is not a "custodian" of personal health information under provincial health information legislation — we do not collect clinical records, and any health details shared in a review or booking request are shared voluntarily by you.

11. Children's privacy

NetND is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.

12. Changes to this policy

We may update this Privacy Policy periodically. Material changes will be reflected by updating the "Last updated" date at the top of this page, and where practical, we will provide reasonable advance notice.
